About US:

The National Drug Authority (NDA) is an autonomous body which was established by the National Drug Policy and Authority Act Cap 206 , Laws of Uganda (2000 Edition) to regulate Human and Veterinary Medicines and other healthcare products.  NDA’s mandate is to ensure quality, safety and efficacy of human and veterinary medicines and other healthcare products through the regulation and control of their production, importation, distribution and use.

Job Summary: The Administrative Assistant will provide administrative and Coordination support to the Directorate of Product Safety.

Key Duties and Responsibilities:

  • Tasked with the development and maintenance of the Directorate databases including safety information databases for Adverse Drug Reactions (ADRs) and Serious Adverse Events (SAEs).
  • Carryout technical screening of all applications and submissions to ensure they are complete and where additional documentation/information is necessary, officially notify the applicants to this effect.
  • Draft letters and other communication from the Directorate to other offices internally and to clients and stakeholders.
  • Organize meeting rooms, equipment and other requirements for internal and/or external meetings with clients and stakeholders
  • Minute-taking during Directorate and individual unit meetings including meetings with clients
  • Route all documents going to the Secretary to the Authority and other offices accordingly.
  • Manage all equipment and ensure that they are in good working condition.
  • Provide administrative support to the Directorate ensuring coverage at all times.
  • Respond to phone calls and front desk inquiries directed to the Directorate.
  • Undertake any other official duties assigned.

Qualifications, Skills and Experience: 

  • The ideal candidate for the National Drug Authority (NDA) Administrative Assistant job must hold a Diploma in Pharmacy/Dispensing or Clinical Medicine from a recognized Institution
  • At least two years of working experience in a related job in a reputable organization.
  • Data Management skills
  • Proficiency in ICT including Standard Microsoft Office Applications
  • High sense of integrity and professionalism.
  • Keen attention to detail.
  • A strong team player.
  • Excellent communication and interpersonal skills.

About US:

The Infectious Diseases Institute (IDI) is an international non-profit organization which is a partnership of infectious diseases and public health specialists. The overall objective of the IDI is to strengthen health systems with strong emphasis on Infectious Diseases, through Research and Capacity Development. IDI has five operational areas through which it works to achieve its mission: Prevention, Care and Treatment; Training, Research and Laboratory services (provided through a partnership with the Makerere University – John Hopkins University Core Lab) and Outreach.

Job Summary: The Medical Records Assistants will be responsible for collection, validating, entry of data in the respective data bases and maintain an updated secure filling records system for easy access and generates periodic reports.

Key Duties and Responsibilities:

  • Generate and distribute to all health facility staff a list for ‘every clinic day expected patients’ before the clinic commences, then produce and submit a missed visit report on every clinic day by 4pm to the community linkage stakeholders like VHTs in line with MoH data management guide lines
  • Track patients’ files especially ones without clinic exercise books and retrieve any information required by the key stakeholders in line with data management guidelines
  • Generate a monthly report for all patients’ clinic attendances, unscheduled, scheduled, new patients in line with MoH data management guide lines
  • The incumbent will receive and register newly referred/ linked patients on every clinic day, assign each a distinctive clinic number, and updating appointments in line with clinic flow guidelines and in line with MoH data management guide lines
  • Post patients’ data from their files into the patients’ data base on a daily basis in line with MoH data management guide lines
  • Collect, clean and routinely validate (weekly, monthly, quarterly and annually) data/information in health facility and from community level in line with IDI and MoH data management guide lines
  • Provide necessary data tools to all health facility staff and provide technical support in data documentation in line with MoH data management guide lines
  • Develop and submit periodic reports to key stakeholders and give timely feedback to the health facility staff in line with IDI and MoH reporting guidelines
  • Develop and maintain proper filing, storage and retrieval systems of patients’ medical records in the health facility in line with MoH data management guide lines
  • Periodically disseminate the updated health facility ‘Performance Monitoring Plan (PMP)’ and quality improvement indicators to track the performance of health facility in line with MoH data management guide lines

Qualifications, Skills and Experience: 

  • The applicant for the Medical Records Assistant job must hold an A-level certificate but preferably with Certificate in IT, Computer Science, Information Management, Data Management plus certificates in Word Processing, Spreadsheets and Database Management. A diploma in Computer Science, Information Management, Data Management is an added advantage.
  • One to two years of related experience.

Job Summary:  The IT Coordinator will coordinate and provide the necessary IT support for all users by managing the local ICT infrastructure and corporate systems under the direction of the Head of Operations. To assist in implementing the Country strategy through the use of Information and Communication technology.

To manage the Information and Communications Technology (IT) environment and services (including responsibility for information security) within the country under the direction of the Country Director and the Regional IT Manager.

Key Duties and Responsibilities:

  • The CITC is mandated to control IT budget for the Country in areas of hardware purchase and deployment, hardware maintenance, connectivity costs, software purchase and maintenance etc.
  • The CITC is required to produce reports that feed into the Country Quarterly report that is submitted to the region.
  • The CITC is also required to produce reports to the Head of Operations providing an update on the status of IT services in the country.
  • The CITC is responsible to build the capacity off staff on effective use of MS Office and other corporate software, to allow them to do their job in the most effective manner.
  • The position is also required to support the Country Management Team (CMT) by providing updates on IT services being provided to staff via the IT department.
  • The CITC assists in the management and mitigation of risks associated with Information and Communications Technology. Such risks are in the areas of connectivity failures, safety of IT assets, safety of organisation and user data, disasters affecting IT services both natural and manmade, misuse of internet and email facilities by staff that leads to loss of productive hours and inadequate bandwidth.
  • The position represents Plan International Uganda in different forums that include regional Country IT Managers’ network, regional IT4D networks, Plan Intranet contributors, BI online users. At local level the position represents the department on extended country management team.
  • The position has a country level organisational reach which ensures that IT services are running to the required standards country wide.

Key Result Areas:

  • Participates in the development and implementation of the global IT strategy and its impact on country operations.
  • Implements ICT disaster recovery plans within the business continuity plan to ensure timely and effective restoration of the ICT services in the event of disaster.
  • Responsible for security and access control for data and network devices
  • Ensure all ICT equipment are held/purchased and disposed off according to the Plan International Uganda IT policy.
  • Maintains the availability and reliability of the IT infrastructure, applications and connectivity in a virus free environment.
  • Maintains agreed levels of service provision and service levels
  • Participates as a member of the CMT from the IT perspective.
  • Provides IT expertise for proposal development – IT4D)
  • Leads the provision of technical support for corporate applications, including installation and upgrades
  • Provides content input to IT staff recruitment, training and development
  • Provides training and support on technical aspects of corporate applications and information security responsibilities
  • As Local Information Security Officer (LISO) perform ongoing activities as required by corporate policy

Qualifications, Skills and Experience: 

  • The applicant for the Plan International IT Coordinator job placement must hold a degree in ICT / Computer Science
  • Five years of relevant working experience in a similar role
  • Good knowledge of computer software and hard ware support functions
  • Knowledge of server installations, maintenance and administration
